Terms of Service

Expandabot provides AI-powered technology services for small businesses. Our current service offerings include:

• AI Chatbot — A custom AI chat assistant trained on your business and embedded into your existing website. One-time setup fee of $497; optional monthly maintenance plan at $97/month.
• AI-Powered Website — A fully custom website with integrated AI chatbot, built and hosted by Expandabot. One-time setup fee of $1,997; monthly hosting and maintenance plan at $147/month.
• Business Automation — Custom workflow automation designed to reduce manual tasks and streamline operations. One-time setup fee of $797; monthly management plan at $197/month.
• Done-For-You Setup — A complete turnkey package covering website, chatbot, and automation setup. One-time setup fee of $1,497; optional monthly support plan at $97/month.

Annual billing is available on all monthly plans at a 20% discount. Current pricing is always listed on our Pricing page. Pricing is subject to change; active clients will receive reasonable notice of any changes.

The specific scope, deliverables, and pricing for any engaged service will be detailed in a separate written service agreement signed by both parties prior to work commencing.

Where offered, Expandabot provides a 14-day free evaluation period so you can experience the service before committing. The following terms apply:

• The evaluation period begins on the date the service is deployed.
• No payment is required during the 14-day evaluation period.
• If you choose to continue after the evaluation, the setup fee and first monthly payment are due at the start of day 15, and your billing cycle begins from that date.
• If you do not wish to continue, you must notify us in writing at support@expandabot.com before day 15. The service will be removed at no charge, with no invoice issued.
• Expandabot reserves the right to modify or discontinue the free evaluation offer at any time without notice.

Setup Fees

All services requiring setup work are subject to a one-time setup fee. Setup fees are non-refundable once work has begun, except as described in Section 4 (Cancellation Policy).

Monthly Plans

Monthly service plans are billed on a recurring basis. Your billing cycle begins on the date your service goes live (or day 15 following a free evaluation period). Invoices are due within 15 calendar days of receipt.

Annual Plans

Annual plans are billed at a 20% discount compared to monthly pricing. Annual plans run to the end of the agreed term. There is no early termination fee for annual plans; however, no refund is issued for unused months if you cancel before the term ends.

Accepted Payment Methods

Expandabot accepts payment via Zelle (preferred), ACH bank transfer, and credit or debit card. Credit and debit card payments may be subject to a processing surcharge disclosed at the time of payment.

Late Payments

If a monthly invoice is not paid within 15 calendar days of the due date, Expandabot will send a written reminder. If payment remains outstanding 30 calendar days past the due date, a late fee of $10.00 per month may be applied and services may be paused as described in Section 5.

Monthly Plans

Monthly plans require 30 days written notice to cancel. We don't make it complicated — just email us at support@expandabot.com. The chatbot or active services will be removed from your site on your cancellation date.

Annual Plans

Annual plans run to the end of the agreed term with no early termination fee. If you choose not to renew, please notify us at least 30 days before your renewal date.

Setup Fees

Setup fees are non-refundable once work has commenced. If you cancel before any work begins, a full refund of the setup fee will be issued.

Upon Cancellation in Good Standing

Upon cancellation with all invoices paid, Expandabot will remove active services on the cancellation date and, where applicable under your service agreement, deliver website source code and assets within 14 business days and provide chatbot system prompt documentation at no charge.

We'd genuinely like to know why you're leaving — not to talk you out of it, but to improve. A quick note is always appreciated.

Suspension for Non-Payment

If an invoice remains unpaid 30 calendar days past the due date, Expandabot may — at its sole discretion — pause any or all active services, including AI chatbot access and website hosting. We will always send a written notice before taking any action. Services will be fully restored within 48 hours of receipt of payment in full, including any applicable late fees.

Permanent Termination for Non-Payment

If services have been paused and the outstanding balance is not resolved within 60 calendar days of the initial notice, Expandabot may permanently terminate the service agreement. Expandabot will make reasonable efforts to transfer website files and assets upon receipt of all outstanding balances, but is under no obligation to maintain backups or configurations indefinitely after termination.

Termination for Cause

Expandabot reserves the right to terminate service immediately and without refund in cases of violation of these Terms, including misuse of the AI chatbot, attempted circumvention of security systems, or any use of our services for illegal or harmful purposes.

Nature of AI Responses

All Expandabot AI solutions are powered by Claude AI by Anthropic — a third-party large language model. AI-generated responses are automated and may not always be accurate, complete, or appropriate for every situation. You should not rely solely on AI chatbot responses for legal, medical, financial, or other professional advice.

No Guarantee of Business Results

Expandabot makes no warranties regarding business outcomes, including but not limited to lead generation, bookings, revenue growth, search engine rankings, or customer engagement. Our tools are designed to give your business a competitive advantage — but results depend on your business, your market, and how you use the tools. Individual results may vary. No specific outcomes are guaranteed.

AI Content Accuracy

Expandabot configures and trains the AI chatbot on your business information to the best of our ability. You are responsible for ensuring that the business information you provide is accurate and up to date. Expandabot is not liable for chatbot responses generated from outdated or incorrect information provided by you.

Third-Party AI Provider

The availability and performance of AI features depends in part on Anthropic's services. Expandabot is not responsible for outages, changes, or limitations imposed by Anthropic. Chatbot conversations are processed through the Anthropic API and are subject to Anthropic's Privacy Policy. Do not share sensitive personal, financial, or medical information in any chat window.

Your Content

You retain full ownership of all business content you provide to Expandabot, including text, images, logos, pricing, and other materials. You grant Expandabot a limited license to use this content solely for the purpose of delivering your services under your agreement.

Delivered Work Product

Upon full payment of all invoices, you own the final delivered website code and design assets created specifically for your project. Ownership of custom deliverables will be confirmed in your signed service agreement.

Expandabot Platform & Systems

Expandabot retains ownership of its underlying systems, frameworks, chatbot infrastructure, proxy architecture, proprietary code libraries, and any tools developed independently of your project. The Anthropic Claude API key used to power your chatbot is owned and managed by Expandabot and is not transferred as part of any service engagement. If you wish to operate the chatbot independently after your agreement ends, you must create your own Anthropic account. Expandabot will provide chatbot configuration documentation at no charge upon cancellation in good standing.

Portfolio & Case Study Rights

Unless otherwise agreed in writing, Expandabot reserves the right to display completed client work in its portfolio, reference client business names in marketing materials, and describe project scope and outcomes without disclosing confidential business data. Clients may request removal of specific content from Expandabot's marketing materials at any time; Expandabot will comply within a reasonable timeframe.

Site Content

All content on expandabot.com — including copy, graphics, design, and the Expandabot brand — is the property of Expandabot.com. You may not reproduce, distribute, or use any portion of the Site without prior written permission.

By using the Site and our Services, you agree not to:

• Use the Site or AI chatbot for any unlawful purpose or in violation of any applicable law or regulation.
• Attempt to reverse-engineer, hack, scrape, or otherwise compromise any part of the Site, chatbot, or Expandabot's infrastructure.
• Submit false, misleading, or fraudulent information through any form or communication channel.
• Use automated tools to interact with the Site or chatbot in a way that places excessive or abusive load on our systems.
• Attempt to extract, reproduce, or misuse the AI chatbot system prompt or configuration.
• Use our services to generate, distribute, or promote content that is defamatory, harassing, threatening, obscene, or otherwise harmful.
• Impersonate Expandabot or any Expandabot representative.

Expandabot reserves the right to terminate access for any user or client who violates these terms, without notice and without refund.

Your privacy matters to us. Our Privacy Policy explains what data we collect, how we use it, and your rights under applicable law including the California Consumer Privacy Act (CCPA).

By using the Site or the AI chatbot, you acknowledge that:

• Conversations with the AI chatbot are processed through the Anthropic Claude API. Do not share sensitive personal, financial, or medical information in the chat window.
• Contact form submissions are transmitted to Expandabot's secure email infrastructure.
• Site usage data is collected via Google Analytics 4 for performance and optimization purposes.
• Our website is hosted on IONOS infrastructure. IONOS may collect standard server logs as part of normal hosting operations.

We do not sell your personal information. Full details are in our Privacy Policy.

To the maximum extent permitted by applicable law, Expandabot's total liability arising out of or related to these Terms or any service engagement shall not exceed the total fees paid by you to Expandabot in the three (3) months immediately preceding the event giving rise to the claim.

Expandabot shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:

• Loss of revenue, profits, or business opportunities
• Loss of bookings, leads, or customers
• Loss of data or content
• Business interruption or service downtime
• Damages resulting from reliance on AI-generated content
• Service outages caused by third-party providers including Anthropic, IONOS, or any other infrastructure provider

These limitations apply regardless of the form of action — whether in contract, tort, negligence, or otherwise — even if Expandabot has been advised of the possibility of such damages.

Some jurisdictions do not allow limitations on certain types of liability. In such jurisdictions, Expandabot's liability is limited to the fullest extent permitted by law.

Expandabot's services rely in part on third-party platforms including Anthropic (AI API), IONOS (hosting infrastructure), Google Analytics, Calendly, and others. Expandabot is not responsible for the availability, performance, pricing changes, or terms of service of any third-party provider. Neither party shall be liable for delays or failures in performance resulting from events beyond their reasonable control, including natural disasters, internet outages, or third-party service provider failures.

The Site may contain links to third-party websites. These links are provided for convenience only. Expandabot does not endorse and is not responsible for the content, privacy practices, or terms of any third-party site.

If a third-party service used to deliver your services is discontinued or materially changed, Expandabot will make reasonable efforts to substitute an equivalent solution and will communicate any material impact to affected clients promptly.

Expandabot reserves the right to update or modify these Terms at any time. When we do, we will update the effective date at the top of this page. For active clients, we will provide notice of any material changes via email at least 14 days before they take effect.

Your continued use of the Site or Services after the effective date of any changes constitutes your acceptance of the updated Terms. If you do not agree to the updated Terms, you should discontinue use of the Site and notify us to cancel any active services.

These Terms are governed by the laws of the State of California, without regard to its conflict of law principles. Any disputes arising from these Terms or your use of the Site or Services shall be resolved in the courts of the State of California.

Before initiating any formal dispute, you agree to contact Expandabot in good faith at support@expandabot.com to attempt to resolve the matter informally. Most issues can be resolved quickly with a conversation.

The parties are independent contractors. Nothing in these Terms creates a partnership, joint venture, agency, employment, or franchise relationship between you and Expandabot.

If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.
